Overview

This document will cover how to build your warehouse inventory using a handheld device. This feature is very useful for a warehouse that doesn't precisely know what inventory is available or how much is available. It allows you to adjust inventory data and even add new part numbers to the system right from the handheld device.

Assumptions

To begin this process, it is assumed that your warehouse has been configured for wireless connectivity, and you have the application installed on our recommended devices.

Within the Handheld App -

Will need to change the default display size from default to small to ensure the menus and details properly fit within the screen.

Scanning your Warehouse

You can access this feature by going to Warehouse > Build Warehouse from the handheld.

From the main screen, you can scan an item or manually type it in. Any matching items will show up in the bottom grid, or suggested matches will appear.

To edit an item, simply select that item and click Next.

If you click New, a new part number will be created for this item. Details on this will be discussed in more detail in the next section.

If you have Prompt for editing unchecked, you will be taken directly to the screen that allows you to set the location and quantity for this item. However, if this is checked, the screen below will come up.

If you click yes, you will be able to edit all the general part number information (such as the manufacturer, vendor, description, UOM, etc). All of this will be covered in the next few sections.

Adding a Part

If you search for an item from the main screen and it does not exist in the system, you will be prompted to add a part number for that item

By default, the scanned text will be set as the UPC. However, if the text is not a valid UPC, you will get prompted to add that text to make the text the new part number rather than the UPC.

Once you start adding the part number, you will be brought to the same screen as when editing a part number. This will be discussed in the next section. The only difference is that you will be adding a brand new part number to the system instead of editing an existing one.

Editing Part Information

When editing a part number's information or adding a new part number, the first screen seen will be the one below. You can manually type in the UPC or check Gen. if you want the system to automatically generate the UPC. Other than the UPC, none of the information for the rest of the editing process is required.

On this screen, you can also type in other information such as part number, manufacturer, vendor, etc. Click the S button to make a search for the manufacturer, vendor, or quick pick notes. You can also press the N button to add a new vendor or manufacturer to the system if one does not already exist for the current item. Once you have filled in all this information, click Next to continue.

NOTE: As an administrator, you can go to Administrator > Pick Lists from the desktop application to add and manage your pick lists for the automatic notes that can be searched here.

The second and third screens that come up will allow you to edit the rest of the part number information.

Once you click Next on the last screen, you will be taken to the screen that allows you to edit locations and quantities. This will be discussed in the next section.

Editing Location & Quantity Information

When editing the location and quantity of an item, you will see the following screen. This allows you to see all existing locations and quantities, and it allows you to add new locations and update quantities for existing locations.

Simply scan a location (or type it in manually) and type in the quantity. Then you will see all locations and quantities for this part number at the bottom.

If you check ‘Remember Location’, then the handheld will automatically fill in the current location for the next item. This is useful when scanning a large amount of items in the same location, and it saves you from having to scan or type in the location for each item.

Using the buttons at the bottom, you can also delete an existing location (if the item does not belong to this location, edit the quantity for an existing location, or add a new location for this item.

Lastly when you finish you will be asked if you want to print an Inventory Label for your newly created item.

Build Warehouse Queue

Once you are finished adding items to the handheld, they aren't yet added to the system. Instead, they are added to the Build Warehouse Queue. You will need to process the queue and verify that new parts or the changes to existing parts. You can do this by going to Inventory > Warehouse Build Queue.

This will bring up the following window, which allows you to view the information entered in by the handheld device.

There are a couple of fields here that are important to note:

To view the location information that you scanned in the handheld, click the +/- on the left of a part number. This shows you what your OnHand will be set for each location.

Once you are ready, check every item that you want to process and click Process at the bottom.

Once you have processed rows, you can change the filters at the top to view processed items within a selected date range.
